Proposal Coordinator

Valard, a leading utility contractor, is seeking a skilled Proposal Coordinator to join their team. As a key member of the proposal management team, you will be responsible for coordinating and developing proposals, tenders, and qualifications responses for various projects.
Key Responsibilities:- Act as a primary liaison with clients during the bidding stage, from initial inquiry to post-bid stage.
- Identify response deliverables, establish submission schedules, and communicate responsibilities and accountabilities to the response team.
- Coordinate proposal kick-off and review meetings, track action items, and maintain communication with team members regarding deadlines and requirements.
- Proofread proposals to ensure they follow company standards for accuracy, quality writing, marketing focus, and brand.
- Ensure all prepared tenders, proposals, and qualification submissions are high-quality, compliant, and communicate Valard's capabilities and value of service.
- Submit proposal responses using various systems and methods, including electronic, online bid portals, email, and hardcopy.
- Assist in developing and implementing win strategies, key messages, marketing themes, and differentiators in proposal submissions.
- Coordinate and log Bid Debriefs and Lessons Learned for application on future submissions.
- Create and update boilerplate documents, templates, project profiles, and team member resumes.
- Document management and distribution of client documents to the response team.
- Maintain information in Valard's internal systems and adhere to document control and reporting requirements.
- Post-secondary degree in Marketing, Communications, Business, or a related field.
- 2+ years of experience as a Proposal Coordinator or in a related role.
- Project management experience and/or training is an asset.
- Demonstrated technical writing experience.
- Demonstrated experience working in a schedule-driven environment.
