Job Title: Proposal Coordinator

Valard, a leading utility contractor in Canada, is seeking a skilled Proposal Coordinator to join their team. As a key member of the proposal management team, you will play a crucial role in developing and coordinating proposals, tenders, and qualifications responses for various projects.

Key Responsibilities:
  • Act as a primary liaison with clients during the bidding stage, from initial inquiry to post-bid stage.
  • Identify response deliverables, establish submission schedules, and communicate responsibilities and accountabilities to the response team.
  • Coordinate proposal kick-off and review meetings, track action items, and maintain communication with team members regarding deadlines and requirements.
  • Proofread proposals to ensure accuracy, quality writing, marketing focus, and brand consistency.
  • Ensure all prepared tenders, proposals, and qualification submissions are high-quality, compliant, and effectively communicate Valard's capabilities and value of service.
  • Submit proposal responses using various systems and methods, including electronic, online bid portals, email, and hardcopy.
  • Assist in developing and implementing win strategies, key messages, marketing themes, and differentiators in proposal submissions.
  • Coordinate and log Bid Debriefs and Lessons Learned for application on future submissions.
  • Create and update boilerplate documents, templates, project profiles, and team member resumes.
  • Document management and distribution of client documents to the response team.
Requirements:
  • Post-secondary degree in Marketing, Communications, Business, or a related field.
  • 2+ years of experience as a Proposal Coordinator or in a related role.
  • Project management experience and/or training is an asset.
  • Demonstrated technical writing experience.
  • Demonstrated experience working in a schedule-driven environment.
