Job Summary

We are seeking a highly organized and detail-oriented School Secretary to join our team at the Central Québec School Board. As a key member of our administrative staff, you will be responsible for ensuring the smooth operation of our school or centre by providing administrative support to our staff and students.

Key Responsibilities
  • Plan and organize secretarial work to ensure compliance with administrative obligations and meet deadlines.
  • Respond to requests and complaints, and resolve problems within your competence.
  • Compile information for budget preparation, participate in preparing it, and monitor it.
  • Keep accounting books, pay invoices, and make bank deposits.
  • Compile requests for materials, carry out calculations, and verify budget allocations and prices.
  • Purchase goods, fill out purchase orders, and receive and distribute goods.
  • Keep a school supply store, draw up physical inventory, and request repairs.
  • Prepare lists of teachers available for substitution and ensure absent employees are replaced.
  • Keep registers and files concerning student registration, staff and student absences, and temporary staff payroll.
  • Respond to students' needs, convey messages, and take measures in emergency situations.
  • Carry out administrative tasks related to the loan of books, audiovisual equipment, and room rentals.
  • Respond to information requests, forward documentation, and handle mail.
  • Organize meetings, prepare files, and draft agendas and minutes.
  • Draft memorandums, bulletins, and reports, and participate in setting up a filing system.
  • Use a computer and software to perform duties related to word processing, database entry, and spreadsheets.
  • Train new school secretaries and coordinate the work of support staff.
Requirements
  • High school diploma or equivalent.
  • Excellent organizational and communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency in computer software and applications.
  • Ability to maintain confidentiality and handle sensitive information.
