Administrative Secretary

Job Summary
We are seeking an experienced Administrative Secretary to provide support to the Director Health Services and managers in the Winnipeg Regional Health Authority. The successful candidate will be responsible for a variety of administrative duties, including processing nursing staff status changes, new hire postings, and terminations.
Key Responsibilities
- Provide administrative support to the Director Health Services and managers
- Process nursing staff status changes, new hire postings, and terminations
- Train staff on ESP self-service and arrange new hire computer access
- Compile employee files, obtain security checks, and obtain references
- Book staff interviews and attend interviews as required
- Timecard entries in SAP and provide employee/staff nametags
- Coordinate meetings and take minutes for Nursing meetings, MAC meetings, and Quality Admission meetings
- Maintain on-call schedule for Nursing and back up purchaser/requisitioned in SAP
- Organize staff celebrations, long-term service recognition, retirements, and staff appreciation events
- Relieve reception as needed and perform diet clerk testing
Requirements
- Two years of experience in word processing (directly related experience)
- Grade 12 or equivalent
- Formal training in applied office skills
- Proficiency with computerized systems (Microsoft Office, Word, Excel, and PowerPoint)
- Proficient keying speed
- Knowledge and experience in office automation
- Experience with email and computerized calendars
- Previous healthcare experience preferred
- Demonstrated ability to organize and prioritize a large workload
- Excellent knowledge of grammar, spelling, punctuation, and accuracy
- Ability to operate information technology as required
Working Conditions
- Required to work for long periods at a computer
- May encounter aggressive and/or agitated individuals
- May encounter exposure to disease, radiation, toxic material, noise, allergens, etc.
Security Clearance
A current satisfactory Criminal Records Check (including Vulnerable Sector Search), Child Abuse Registry Check, and Adult Abuse Registry Check are required as conditions of employment. The successful candidate will be responsible for any service charges incurred.
Important Note
An employee is not permitted to hold two or more positions across the WRHA legal entity that combine to equal more than 1.0 EFT. The WRHA legal entity includes Churchill Health Centre, Deer Lodge Centre, Golden West Centennial Lodge, Grace Hospital, Middlechurch Home of Winnipeg, Pan Am Clinic, River Park Gardens, Victoria General Hospital, WRHA corporate programs, and WRHA community health services.
