Proud Refrigerators is seeking a highly organized and detail-oriented Senior Administrative Coordinator to join our team. As an Executive Office Assistant, you will be responsible for providing administrative support to our senior management team.

About the Role

This is a permanent full-time position with a salary range of $45,000 - $60,000 per year, depending on experience, plus benefits and a competitive hourly rate of $22.50-$30.00 per hour based on 30 hours worked per week.

Job Description
  • Coordinate the flow of information within the team: You will be responsible for ensuring that all necessary information is communicated to team members in a timely manner.
  • Open and distribute mail and other materials: You will be responsible for opening and distributing mail, packages, and other materials to the appropriate team members.
  • Record and prepare minutes of meetings, seminars and conferences: You will be responsible for taking accurate notes during meetings, seminars, and conferences and preparing meeting minutes.
  • Schedule and confirm appointments: You will be responsible for scheduling and confirming appointments for senior management team members.
  • Answer telephone and relay telephone calls and messages: You will be responsible for answering phone calls and relaying messages to team members.
  • Compile data, statistics and other information: You will be responsible for gathering and compiling data, statistics, and other information as required.
  • Order office supplies and maintain inventory: You will be responsible for ordering office supplies and maintaining an up-to-date inventory of office materials.
  • Arrange travel, related itineraries and make reservations: You will be responsible for arranging travel arrangements, including booking flights, hotels, and rental cars, and making reservations as needed.
  • Greet people and direct them to contacts or service areas: You will be responsible for greeting visitors and directing them to the appropriate team members or service areas.
  • Set up and maintain manual and computerized information filing systems: You will be responsible for setting up and maintaining both manual and computerized filing systems to ensure that all documents are easily accessible.
Work Conditions and Physical Capabilities

Education and Experience

The successful candidate will have a high school diploma or equivalent and at least one year of experience in a similar role. A post-secondary education in business administration or a related field would be an asset.
