We are seeking an experienced Key Office Support Professional to join our team. As a valued member of our staff, you will be responsible for ensuring the smooth day-to-day operation of our office.

Job Summary

This role involves coordinating and maintaining office procedures, scheduling appointments, managing communication, and maintaining information filing systems. The ideal candidate should be highly organized, have strong client focus, and excellent time management skills.

Responsibilities

  • Determine and establish effective office procedures and routines to maintain efficiency and productivity.
  • Schedule and confirm appointments, meetings, and other events in a timely manner.
  • Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and courteous manner.
  • Compile data, statistics, and other information as required by management.
  • Order office supplies and maintain inventory levels to ensure efficient operations.
  • Greet visitors and direct them to contacts or service areas in a welcoming and helpful manner.
  • Maintain accurate and up-to-date manual and computerized information filing systems to ensure easy access to critical information.
  • Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.

Work Environment

This is a fast-paced environment that requires attention to detail, multitasking, flexibility, and the ability to work well under pressure.

Salary Information

The estimated annual salary for this position is $55,000 - $65,000, depending on experience and qualifications.

Requirements

  • High school diploma or equivalent required; post-secondary education in business administration or related field an asset.
  • Minimum 2 years of experience in an administrative support role, preferably in a construction industry setting.
  • Excellent communication, organizational, and time management skills.
  • Ability to work well in a team environment and prioritize tasks effectively.
