Executive Assistant

OMERS is seeking an exceptional Executive Assistant to support the SVP, Finance & Operations, based at our corporate head office in Downtown Toronto.
Key Responsibilities:- Provide confidential administrative services to the SVP, ensuring quality service and professionalism at every interaction.
- Prioritize and effectively organize the SVP's workload to ensure critical items are highlighted and progressed.
- Manage and coordinate a complex calendar with conflicting priorities.
- Monitor incoming communications, including emails and phone calls.
- Manage meetings, including scheduling, preparing agendas, arranging catering, taking minutes, and documenting action items.
- Manage and code invoices, approvals, and accruals.
- Schedule and coordinate team events, such as team Town Halls, Leadership team meetings, offsites, and other.
- Recommend enhancements to increase the SVP's and the team's efficiency and effectiveness.
- Build strong and effective relationships across the organization, including partnering with internal and external stakeholders.
- Negotiate conflicting needs, including troubleshooting, handling matters with urgency, and following through on deliverables.
- Build and enhance team community through all interactions.
- 5-10 years' experience supporting a finance-focused C-suite executive in a large, complex, international organization.
- Excellent skills and experience in the entire MS Office Suite, with a special focus on Outlook, To-Do, OneNote, PowerPoint, Word, and SharePoint.
- Passion for maintaining order, organization, prioritization, and pace.
- Evident skills in spoken and written communication.
- A post-secondary education is preferred.
