Job Summary

We are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. The successful candidate will be responsible for providing administrative support to our financial advisors and assisting with office management tasks.

Key Responsibilities

  • Answering office telephone and processing daily mail/courier
  • Ordering marketing supplies, forms, prospectuses, and office stationery
  • Performing general office tasks such as filing, photocopying, and paper refill
  • Processing financial services advisor contract documents for various licenses required by regulators
  • Assisting with advisor registration for various services, programs, and courses
  • Processing insurance policies and investment transactions; reviewing documentation for accuracy and any client follow-up
  • Maintaining a log of sales documentation flowing to and from head office to follow its process through various departments
  • Keeping advisors informed about important communications from head office regarding areas such as compliance, technology, product, and process changes
  • Following up with various head office departments on issues of benefit to the centre
  • Assisting with the planning of financial centre functions such as holiday season parties and team meetings

Requirements

  • Solid oral and written communication skills; a pleasant manner
  • Able to maintain and improve administrative processes
  • Attention to detail and good with numbers
  • Organized but flexible to take on a new task of greater priority
  • Self-directed and able to complete tasks with limited supervision
  • Maintain staff and client confidentiality
  • Working knowledge of Microsoft Word, Excel, PowerPoint, and internet navigation and research
  • Industry experience an asset

Salary Range

$50,000 - $65,000 per year, depending on experience
