Job Title: Administrative Services Manager
Job Summary: We are seeking an experienced Administrative Services Manager to join our team at Canamark Property Services Ltd. The successful candidate will be responsible for overseeing the day-to-day administrative operations of the office, ensuring that all tasks are completed efficiently and effectively.
Key Responsibilities:
- Review and evaluate new administrative procedures to ensure they are implemented correctly.
- Delegate work to office support staff and establish work priorities to ensure procedures are followed and deadlines are met.
- Carry out administrative activities of the establishment, including administering policies and procedures related to the release of records.
- Co-ordinate and plan for office services, including accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services.
- Assist in the preparation of the operating budget and maintain inventory and budgetary controls.
- Assemble data and prepare periodic and special reports, manuals, and correspondence.
- Perform data entry and train staff as needed.
- Oversee and co-ordinate office administrative procedures, resolve conflict situations, and oversee payroll administration.
- Plan and control budget and expenditures.
Requirements:
- 3 years to less than 5 years of experience in an administrative role.
- Ability to work independently in a fast-paced environment with tight deadlines.
- Excellent oral and written communication skills.
- Efficient interpersonal skills and ability to multitask.
- Time management and adaptability.
Work Environment: The successful candidate will work in a private sector construction company environment with a team of 11-15 people.
Computer and Technology Knowledge: The candidate should have knowledge of Mac OS, MS Excel, MS Office, MS Outlook, MS PowerPoint, MS Windows, MS Word, project management software, and database software.
Transportation/Travel Information: The candidate should have their own transportation.
Work Conditions and Physical Capabilities: The candidate should be able to work independently, have attention to detail, and be able to multitask in a fast-paced environment.
Personal Suitability: The candidate should have excellent oral and written communication skills, efficient interpersonal skills, and be able to multitask.
