To provide confidential administrative support to the Divisional Director Emergency Disaster Services and all Emergency Disaster Services employee personnel within the Salvation Army Atlantic Division, ensuring seamless operations and effective communication.
Key Responsibilities:- Coordinate and organize Emergency Disaster Services events, ensuring timely execution and successful outcomes.
- Develop and create various documents, including form letters, charts, tables, certificates, brochures, briefs, and presentations, as required.
- Secure and maintain confidential information for various Boards and meetings, keeping relevant folders up-to-date.
- Prepare and distribute agendas and minutes as assigned, ensuring accuracy and timeliness.
- Compile and analyze data for reports, providing valuable insights and recommendations.
- Ensure all deadlines for reports, requests, and projects are met, sending reminders as necessary.
- Perform various administrative tasks, including typing forms and maintaining the Calendar of Events for the Divisional EDS.
- Arrange meetings and coordinate travel arrangements for the Divisional EDS Team.
- Complete Business World transactions for the Divisional EDS Team, ensuring accuracy and efficiency.
- Maintain and update the Salvation Army's social media accounts, ensuring engaging content and timely responses.
- Provide administrative support to employees and volunteers during disasters, ensuring their needs are met.
- Post-secondary education in office and clerical fields is required.
- Prior clerical/office administration experience, preferably in an executive office setting, is an asset.
- Proficiency in Microsoft products, including Word, Excel, Publisher, and PowerPoint, is essential.
- Familiarity with social media platforms and their maintenance is required.
- Ability to uphold the mission, vision, and values of The Salvation Army.
- Excellent organizational and interpersonal skills.
- Excellent oral and written communication skills.
- Ability to maintain confidentiality and sign a Confidentiality Statement.
- Strong sense of integrity with professional ethics and a balanced sense of fairness and flexibility.
- Ability to work independently and take directions.
- Clear and accurate communication of factual information/data.
- Ability to obtain a Criminal Police/Vulnerable Sector Check and clearance through The Salvation Army Internal Abuse Registry.
