Reporting directly to the Director of Catering, the key responsibilities and essential functions of this role include, but are not limited to:
- Delivering consistently professional, friendly, and engaging service.
- Proactively engaging in the sales of event spaces and coordinating various types of gatherings, including meetings, dinners, receptions, weddings, and social events.
- Meeting monthly and yearly targets as established by the Director of Catering.
- Conducting site inspections and achieving entertainment, activity, and revenue objectives.
- Confirming all event-related details with clients during the finalization process.
- Building and maintaining strong relationships with clients before, during, and after events to encourage repeat business.
- Managing all aspects of bookings from initial contact to event completion, including meeting and guest room requirements, food and beverage needs, and audio-visual arrangements.
- Finalizing events as assigned by the Director of Catering.
- Handling all deposits and prepayments for events, ensuring full payment is received.
- Creating floor plans for events to ensure alignment between banquets and clients prior to setup.
- Initiating billing procedures, ensuring that all deposits and credit applications are completed accurately and promptly.
- Ensuring all Banquet Event Orders (BEOs) are signed by the authorized representatives and properly filed.
- Conducting pre-conference meetings with clients and relevant departments to confirm all necessary details and create event resumes as needed.
- Participating in daily BEO meetings to review event contracts and communicate any last-minute changes to the appropriate departments.
- Adhering to departmental policies and procedures.
- Following all safety protocols.
- Demonstrating excellent time management and organizational skills, with the ability to prioritize tasks and assess when additional hours are necessary.
- Performing other duties as assigned.
- Being available for evening and weekend work as required, particularly for weddings and social events.
- Maintaining a professional demeanor and appearance at all times.
- Previous leadership experience in a similar capacity is essential.
- Proficiency in Microsoft Windows applications is required; knowledge of Opera is preferred.
- A degree from a university or college in a related field is preferred.
- Exceptional communication skills, both written and verbal, are required.
- Strong interpersonal and problem-solving abilities.
- Highly responsible and dependable.
- Ability to maintain focus on guest needs while remaining calm and courteous.
- Proficiency in English is required; bilingualism in French is an asset.
