Position: Administrative Assistant II

Role Overview

The Administrative Assistant II plays a crucial role in delivering exceptional administrative and organizational support to an ophthalmologist and the Eye Care Team. This position is vital for ensuring smooth operations within the clinical environment.

Key Responsibilities
  • Attend and document meetings, producing minutes as necessary.
  • Manage incoming calls, relay messages, and ensure appropriate follow-up.
  • Type and transcribe reports and correspondence, ensuring accurate distribution.
  • Establish and maintain an organized office filing system, including the management of incoming and outgoing mail.
  • Coordinate and schedule appointments, including the booking of clinics and distribution of appointment notifications.
  • Provide reception and registration services for patients and their families.
  • Arrange travel logistics, including bookings.
  • Utilize Accuro software for computerized medical billing.
  • Maintain ongoing communication with the Eye Care Team, attending team meetings as required.
  • Facilitate multidisciplinary appointments and surgeries for both adults and children.
  • Liaise with internal and external departments regarding patient appointments.
  • Manage patient referrals, notifying them of appointments and maintaining accurate files.
  • Perform clinic registration tasks using Meditech.
  • Contribute to discussions aimed at enhancing clinic efficiency and operations.
Work Schedule

Standard hours are Monday to Friday.

Qualifications
  • High School Diploma or GED is required.
  • Completion of a recognized Office Administration Program is essential.
  • A minimum of 6 months of relevant administrative experience in a clinical setting is necessary.
  • Experience in an ophthalmology or Eye Care Team environment is preferred.
  • Proficiency in Microsoft Office and database programs is advantageous.
  • Familiarity with MEDITECH, Novari, MS Outlook, and Internet applications is beneficial.
  • Keyboarding speed of at least 60 words per minute is required.
  • Experience with computerized medical billing applications is preferred.
  • Demonstrated organizational, analytical, and interpersonal skills are essential.
  • Ability to work independently with minimal supervision is required.
  • Strong written and verbal communication skills are necessary.
  • Competency in additional languages is an asset, with French being preferred.
