Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a vital role in supporting our management team with daily tasks, ensuring the smooth operation of our residences. Key Responsibilities
  • Plan and coordinate staff schedules, including vacation and sick leave coverage
  • Coordinate with placement agencies as needed
  • Process resident admissions, ensuring accurate archiving and compliance with company directives
  • Manage medication orders and follow-ups with pharmacies
  • Arrange medical appointments, transportation, and accompaniment services as required
  • Update and distribute care plans to residents on a monthly basis
  • Maintain accurate records and files related to resident care
  • Ensure up-to-date fire safety and emergency response plans are in place
  • Communicate with families via email
  • Coordinate employee interviews and background checks
  • Liaise with CIUSSS stakeholders as needed
  • Assist with medical visit follow-ups, including prescription management and lab requests
Requirements
  • Diploma in Medical Secretariat or equivalent
  • 2 years of relevant experience in the healthcare sector
  • Experience working with seniors (an asset)
  • Experience with healthcare software (an asset)
  • Excellent organizational and customer service skills
  • Ability to adapt to changing situations
  • Proficient in Microsoft Office
  • Fluent in French (spoken and written) and functional English
