Job Summary

We are seeking a highly organized and detail-oriented Technical Coordinator to join our team at Cowichan Tribes. As a Technical Coordinator, you will provide administrative support to our Public Works department, assisting with the planning, design, and execution of infrastructure projects.

Key Responsibilities
  • Liaise with staff, consultants, and stakeholders to coordinate project activities and ensure timely completion.
  • Deliver project notices and serve as the primary point of contact for community members.
  • Coordinate schedules and attend committee meetings as required.
  • Liaise with design professionals, architects, engineers, and other stakeholders to discuss project funding, design, and execution.
  • Prepare agendas and take meeting minutes to ensure accurate documentation.
  • Create and implement digital and physical file structures to maintain organized records.
  • Prepare and maintain accurate records, including financial transactions and project documentation.
  • Perform quality control file management and provide recommendations for improvement.
  • Read, interpret, and follow existing policies, procedures, and best management practices.
  • Research and summarize technical concepts to support project decision-making.
  • Coordinate with consultants, contractors, subcontractors, and suppliers to ensure project deliverables.
  • Monitor and maintain records for accuracy of financial transactions.
  • Request purchase orders and other financial authorizations as required.
  • Authorize minor purchases and payments in compliance with the Procurement Policy.
  • Assist with planning and coordinating public events, such as kick-off meetings and ribbon-cutting ceremonies.
  • Prepare and submit required documents and reports to support project progress.
  • Support the Director with preparation of capital plans, funding requests, and funding reports.
  • Attend community, department, and committee meetings as required.
  • Coordinate, prepare schedules, and communicate information related to projects.
Requirements
  • Grade 12 education or equivalent required.
  • Experience in clerical or support settings required.
  • Experience in real estate acquisition an asset.
  • Eligible for membership in Applied Science Technology & Technicians of BC or equivalent/similar an asset.
  • Criminal Record Check required.
  • Valid Class 5 BC driver's license and reliable vehicle required.
Preferred Qualifications
  • Well-developed written, oral, and interpersonal communication skills.
  • Demonstrated planning, analytical, and organizational skills.
  • Well-developed MS Office computer and clerical skills.
  • Time management with the ability to multitask different tasks simultaneously.
  • Ability to take initiative, possess good judgment, work well independently and as part of a team.
  • Knowledge of Cowichan Tribes Departmental programs and services, policies and procedures, computer applications, and Project Management Software is an asset.
  • Knowledge of infrastructure, engineering projects, building codes and standards considered an asset.
  • Knowledge of construction trades and project management.
  • Knowledge of Cowichan Tribes customs, land, culture, and traditions or a willingness to learn.
