Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Dx Inc. As an Administrative Assistant, you will be responsible for providing administrative support to our staff, managing office operations, and ensuring the smooth day-to-day functioning of our organization.

Key Responsibilities
  • Budget Management: Plan and control budget and expenditures to ensure efficient use of resources.
  • Policies and Procedures: Establish and implement policies and procedures to maintain a well-organized and productive work environment.
  • Scheduling and Appointments: Schedule and confirm appointments, meetings, and events.
  • Data Compilation: Compile data, statistics, and other information to support decision-making.
  • Report Preparation: Oversee the preparation of reports, including financial reports and other administrative documents.
  • Employee Support: Respond to employee questions and complaints in a timely and professional manner.
  • Office Supplies and Inventory: Order office supplies and maintain inventory levels to ensure a well-stocked and efficient work environment.
  • Liaison and Communication: Liaise with management, union officials, and HR consultants to ensure effective communication and collaboration.
  • Staff Consultation and Grievance Procedures: Organize staff consultation and grievance procedures to maintain a positive and respectful work environment.
  • Payroll Administration: Oversee payroll administration, including processing payroll and managing employee benefits.
  • Information Filing Systems: Set up and maintain manual and computerized information filing systems to ensure accurate and efficient record-keeping.
  • Research and Data Entry: Conduct research and perform data entry tasks to support administrative functions.
  • Customer Service: Provide excellent customer service to internal and external clients.
  • Project Management: Assign, coordinate, and review projects and programs to ensure successful outcomes.
Requirements
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Language: Fluency in English.
  • Work Hours: 35 hours per week.
