Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to provide exceptional support to our Division Management team. The successful candidate will be responsible for providing administrative support, managing calendars, coordinating meetings, and maintaining accurate records.

Key Responsibilities
  • Provide administrative support to Division Managers and Business Managers, including preparing and editing communications, making travel arrangements, and coordinating meetings.
  • Manage calendars, schedules, and appointments for Division Managers and Business Managers.
  • Coordinate meetings, events, and conferences, including preparing agendas, arranging refreshments, and ensuring complete records of meetings.
  • Compile information by reviewing and disseminating incoming mail, prioritizing and categorizing documents for signature, and maintaining confidential files for document retrieval.
  • Assist with documentation of internal policies and procedures, newsletters, training materials, and other communications.
  • Maintain customer confidence and protect operations by keeping proprietary information confidential.
  • Facilitate information flow by serving as liaison between Division Manager, Business Manager, and others.
Requirements
  • High School Diploma or equivalent experience.
  • 5+ years of experience in working as an Executive Administrative Assistant or related experience supporting "C" level executives.
  • Fluent in French and English (verbal and written).
  • Excellent written and verbal communication skills.
  • Ability to work independently and prioritize with minimal supervision, in order to meet deadlines.
  • Basic computer skills, including Microsoft Word, PowerPoint, Excel, Access, Outlook, and web browsers.
  • Strong prioritizing skills, decision-making skills, and ability to gather data, compile information, and prepare reports.
