Position Overview:
The role of the Research Proposal Data Assistant is essential in facilitating the administrative processes associated with research initiatives. This position is temporary and plays a pivotal role in supporting the growth of research activities.
Key Responsibilities:
- Assist in managing and updating proposal data within the database, ensuring accurate status updates and details regarding funding and partnerships.
- Document changes to project timelines, budgets, and partnerships to maintain comprehensive records.
- Research and input new funding programs and partner records into the database, collaborating with internal departments to ensure data accuracy.
- Utilize Microsoft Excel to track research projects and technical services.
- Coordinate with financial teams upon proposal awards to facilitate project initiation.
- Manage a shared inbox for incoming proposal communications and maintain organized records.
- Employ Microsoft SharePoint for document management related to proposals and awarded projects.
- Engage with colleagues to clarify project details and ensure comprehensive documentation of discussions.
- Generate metrics reports from the database for stakeholders as needed.
- Test and update database queries to enhance functionality.
- Revise Standard Operating Procedures (SOPs) to reflect current best practices.
- Participate in special projects as assigned and contribute to departmental improvements.
Skills & Abilities:
- Strong customer service orientation with excellent communication skills.
- Highly organized with meticulous attention to detail.
- Proficient analytical and problem-solving abilities.
- Ability to thrive under pressure and meet deadlines.
- Capable of managing multiple projects simultaneously.
- Intermediate to advanced proficiency in Microsoft Excel.
- Ability to work independently with effective time management.
- Exceptional documentation and note-taking skills.
Qualifications:
- Post-secondary diploma or degree in a related field.
- 1-3 years of relevant experience.
- Experience with PeopleSoft Finance software and database management is advantageous.
- Familiarity with Salesforce and Workday software is a plus.
- Experience with Microsoft Power Platform (Power BI and Power Automate) is beneficial.
