Overview of the Role

As a key member of the Integrated Marketing & Communication (IMC) team, the Senior Analyst, Operations will report directly to the Operations Manager. This position plays a crucial role in enhancing operational initiatives and fulfilling reporting requirements that drive process efficiency across the IMC team.

Definity is evolving its IMC Operations capabilities, aiming to strengthen its influence and relationships throughout the organization. The ideal candidate will possess a unique blend of analytical skills, process orientation, and interpersonal abilities. They will comprehend business priorities and assist the Operations Manager in aligning team resources with strategic deliverables.

This position is pivotal in enhancing IMC performance, operational efficiency, and overall client satisfaction with IMC services.

Key Focus Areas

  • Management of intake processes, cross-departmental integration, and resource allocation
  • Monitoring service levels, managing expectations, and generating reports
  • Continuous enhancement of processes, workflows, and integration of external partners and technology

The Senior Analyst, Operations will be responsible for tracking project efficiency, gathering operational metrics, and identifying areas for improvement.

Core Responsibilities

Intake Management and Resource Allocation

  • Assist the Operations Manager in managing intake, prioritization, and allocation of complex integrated marketing and communication projects, ensuring alignment with strategic objectives
  • Facilitate the daily intake of straightforward integrated marketing and communication requests, directing them to the appropriate teams based on established criteria
  • Document prioritization decisions and ensure effective communication across IMC teams and leadership

Continuous Improvement Initiatives

  • Propose enhancements to streamline project initiation, briefing, and other workflow processes
  • Assess technology and tool improvements to optimize workflow
  • Contribute to initiatives aimed at acquiring and integrating technology solutions for the entire IMC department, including marketing technology, communication technology, and project management tools
  • Support essential processes related to procurement in collaboration with IMC leadership and procurement teams

Service Level Monitoring and Reporting

  • Analyze and report on service experiences with internal clients, focusing on timeliness and quality
  • Develop and present dashboards and operational insights reports for IMC and business stakeholders
  • Oversee project execution and assess the achievement of business objectives through the delivery of IMC programs

Qualifications

  • Minimum of 5 years of experience in marketing operations, project management, execution reporting, or agency operations
  • Proficient in managing workflows for a diverse range of projects with various complexities and stakeholders
  • Experience with project management platforms that support marketing and communication teams, such as Asana or Jira, along with advanced skills in Microsoft Excel and PowerPoint
  • Strong analytical capabilities with a passion for metrics and KPIs, effectively communicated through operational dashboards
  • Interest in staying informed about the latest trends in marketing, communication, and data
  • Ability to communicate information clearly and positively, combining excellent decision-making skills with keen observational abilities
  • Solid understanding of tools and technologies that enhance marketing and communication operations
  • Exceptional time management and organizational skills, with a strategic mindset focused on continuous improvement
  • Strong verbal and written communication skills, collaboration abilities, and sound judgment

Compensation Range: $55,800 - $102,800
