About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to the Chief Executive Officer of the Champlain Bridges Incorporated (the Corporation). The successful candidate will be responsible for managing the CEO's schedule, coordinating meetings, and performing various administrative duties to ensure the efficient operation of the Office of the CEO.

Key Responsibilities
  • Agenda Management and Coordination
    • Manage and prioritize the CEO's agenda, ensuring timely and effective communication with stakeholders.
    • Coordinate meetings, prepare meeting materials, and ensure follow-up on action items.
  • Document Management and Administration
    • Manage and maintain accurate and up-to-date records and files for the Office of the CEO.
    • Prepare and distribute documents, reports, and other materials as required.
  • Support to the Corporate Secretary
    • Provide administrative support to the Corporate Secretary, including preparing and distributing meeting materials, and ensuring accurate records of Board committee meetings.
  • Communication and Liaison
    • Act as a liaison between the CEO and various stakeholders, including employees, directors, and external partners.
    • Communicate effectively and professionally, both verbally and in writing.
Requirements
  • Education and Experience
    • College diploma in secretarial studies, office technology, administration, or an equivalent combination of education and experience.
    • Minimum 10 years of relevant experience in a similar position, providing administrative support to senior management and a board of directors.
  • Skills and Knowledge
    • Proficiency in MS Office software, including Word, Excel, and PowerPoint.
    • Working knowledge of Adobe Acrobat and Sharepoint.
    • Comfort using Teams and electronic signature software.
    • Knowledge of SAP ByDesign or financial resource planning software.
    • Superior written and verbal communication skills in both official languages (English/French).
