Position Overview

The Tenant Services Coordinator plays a vital role in supporting BGIS clients by managing the execution of minor maintenance projects, workspace modifications, design services, and office-related tasks. This role is also accountable for addressing tenant concerns associated with the execution of tenant service initiatives. Responsibilities include defining project scopes and specifications, overseeing tendering processes, financial management, and monitoring contractor performance for both tenant service and base building projects.

Key Responsibilities

  • Receive, assess, and validate service requests via phone, email, and in-person visits, while maintaining tracking of service calls and work orders as necessary.
  • Coordinate BGIS and subcontracted teams to deliver essential tenant services within the defined scope.
  • Assist Facility Managers in executing small-scale tenant service projects by identifying required skills, aiding in contractor selection, monitoring performance, budget adherence, quality control, and task assignment.
  • Review contract work, report discrepancies to the Facility Manager, and request Purchase Orders as needed.
  • Accurate interpretation of client workflows, workplace culture, and policies is crucial for effective delivery of Tenant Services.
  • Perform additional duties as assigned.

Qualifications & Skills

  • Completion of high school plus a specialized technical or business course.
  • Experience ranging from one to three years in a related field.
  • Exceptional client management and customer service abilities.
  • Strong interpersonal skills, particularly in communication (both verbal and written).
  • Understanding of project delivery and tendering methodologies.
  • General knowledge of commercial building systems and/or construction practices.
  • Excellent organizational, coordination, and documentation skills with the capacity to manage multiple tasks.
  • Ability to work independently.
  • Capability to interpret contracts as necessary.
  • Proficiency in CAD is considered an asset.
  • Relevant experience and skills related to facility management, churn, facility infrastructures, and specific client industry sectors.
  • Proficient in MS Office and email applications.

Licenses and Professional Accreditation

  • Valid driver's license (if required).
