Position Summary:
As a key member of the Imaging Team in Ottawa, the Imaging Operations Supervisor will oversee the meticulous handling of physical documents, ensuring they are tracked, prepared, scanned, indexed, reconstituted, quality checked, and delivered to clients in accordance with established standards. This role includes managing daily operations within the Imaging Center, troubleshooting issues, adhering to departmental guidelines, and monitoring project timelines and outcomes.

Key Responsibilities:

  • Investigate and resolve client-related issues, adjusting workflows as necessary to meet client needs.
  • Support the invoicing process to ensure accurate billing.
  • Foster a cohesive and high-performing team, acting as a mentor and role model.
  • Recruit, train, and nurture talented staff members.
  • Encourage a positive team culture and environment.
  • Maintain ongoing motivation and communication with team members to uphold a quality service ethos.
  • Engage in hands-on activities such as document preparation, scanning, and importing.
  • Provide coverage for Imaging Team members during absences.
  • Conduct Quality Assurance checks to ensure compliance with established procedures.
  • Ensure all staff undergo comprehensive training related to scanning and imaging responsibilities, including ongoing education.
  • Develop and update training materials, plans, and schedules in collaboration with training personnel.
  • Compile performance reports on a daily and weekly basis, summarizing workload metrics.
  • Coordinate with the Quality Assurance team to ensure all documents adhere to required standards.
  • Oversee the maintenance of scanning equipment.

Qualifications:

Essential Skills and Competencies:
Proficient understanding of imaging processes, with demonstrated leadership abilities and strong organizational skills. Basic knowledge of billing processes is required. Experience managing a team of 10 or more employees is essential.

Business Acumen:
Familiarity with project lifecycles is beneficial.

Leadership Skills:
Ability to drive productivity through effective leadership and mentorship of Imaging Center staff.

Interpersonal Skills:
Strong communication skills are necessary for effective internal and external interactions. This role involves collaboration across various departments and occasional client communication.

Travel Requirements:

  • Minimal local travel (1%).

Preferred Experience:

  • 2-3 years of supervisory experience in a digital environment is highly preferred.

Compliance Responsibilities:

  • Adhere to all relevant laws, regulations, and company policies.
  • Exhibit ethical behavior in alignment with the company’s Code of Ethics and Business Conduct.
  • Complete all required training within designated timeframes.

Shift Details:
Monday to Friday (Evening Shift): 3:00 pm to 11:00 pm

Job Type: Full-Time

  • Must be able to pass Government Reliability B and potentially Level 2 Secret Security Clearance.
