Position Summary:
The Imaging Operations Supervisor plays a crucial role within the Ottawa Imaging Team, ensuring the meticulous handling of hard copy documents throughout the imaging process. This includes tracking, preparation, scanning, indexing, quality assurance, and final delivery to clients, all in accordance with the established standards. The supervisor will manage daily operations within the Imaging Center, address challenges, uphold departmental standards, and oversee project timelines and outcomes.

Key Responsibilities:

  • Investigate and resolve client-related issues, adapting workflows as necessary to align with client expectations.
  • Support the invoicing process to ensure accuracy and timeliness.
  • Foster a cohesive and high-performing team environment, acting as a mentor and role model.
  • Recruit, train, and develop skilled personnel to enhance team capabilities.
  • Encourage a positive team atmosphere through continuous motivation and engagement.
  • Participate in hands-on tasks including document preparation, scanning, and importing.
  • Provide coverage for team members during absences to maintain workflow.
  • Conduct Quality Assurance checks to verify adherence to established guidelines and procedures.
  • Ensure all team members receive comprehensive training on imaging responsibilities, including ongoing education.
  • Collaborate with training staff to develop and update training materials and schedules.
  • Generate performance reports reflecting daily and weekly workload metrics.
  • Coordinate with the Quality Assurance team to ensure compliance with document standards.
  • Maintain and troubleshoot scanning equipment to ensure optimal performance.

Qualifications:

Essential Skills and Competencies:
A solid understanding of imaging processes, coupled with demonstrated leadership and organizational skills. Basic knowledge of billing practices is advantageous. Experience managing a team of 10 or more employees is preferred.

Business Acumen:
Familiarity with project lifecycles is beneficial.

Leadership Attributes:
A key driver of productivity within the Imaging Center, guiding and mentoring imaging personnel effectively.

Interpersonal Skills:
Strong communication abilities are essential for effective internal and external interactions. This role involves collaboration across various departments and occasional client engagement.

Travel Requirements:

  • Minimal local travel (approximately 1%).

Preferred Education and Experience:

  • 2-3 years of supervisory experience in a digital environment is highly desirable.

Compliance Responsibilities:

  • Adhere to all relevant laws, regulations, and company policies.
  • Exhibit ethical conduct in line with our Code of Ethics and Business Conduct.
  • Complete all required training within designated timeframes.

Shift Details:
This position operates Monday to Friday during the evening shift from 3:00 pm to 11:00 pm.

Security Clearance:
Candidates must be able to obtain Government Reliability B and potentially Level 2 Secret Security Clearance.
