Position Summary:
As a key member of the Imaging Team in Ottawa, the incumbent will oversee the meticulous handling of physical documents, ensuring they are tracked, prepared, scanned, indexed, reconstituted, quality checked, and delivered to clients in accordance with established standards. The role includes managing daily operations within the Imaging Center, troubleshooting issues, adhering to departmental protocols, and monitoring project timelines and outcomes.

Key Responsibilities:

  • Investigate and resolve client inquiries, adjusting workflows as necessary to align with client needs.
  • Support the invoicing process to ensure accurate billing.
  • Foster a cohesive and high-performing team environment, acting as a mentor and role model.
  • Recruit, train, and nurture skilled personnel.
  • Encourage a positive team culture focused on quality service delivery.
  • Engage in hands-on tasks related to document preparation, scanning, and importing.
  • Provide coverage for Imaging Team members during absences.
  • Conduct Quality Assurance evaluations to ensure compliance with operational guidelines.
  • Ensure all team members receive comprehensive training on document imaging responsibilities, including ongoing educational opportunities.
  • Develop and maintain training materials, plans, and schedules in collaboration with training staff.
  • Prepare performance reports, summarizing workloads on a daily and weekly basis.
  • Coordinate with the Quality Assurance team to verify that all documents meet established standards.
  • Maintain and troubleshoot scanning equipment.

Qualifications:

Essential Skills and Competencies:
Strong understanding of imaging processes, proven leadership capabilities, and excellent organizational skills. Basic knowledge of billing practices is required. Experience managing a team of 10 or more employees is essential.

Business Acumen:
Familiarity with project management principles is beneficial.

Leadership Qualities:
Key in driving productivity through effective leadership and mentorship of imaging personnel.

Interpersonal Skills:
This role demands strong communication abilities for effective interaction both internally and externally. Engagement with various departments within RecordXpress is expected, with occasional client interactions requiring clear written and verbal communication.

Travel Requirements:

  • Minimal local travel (approximately 1%).

Preferred Education and Experience:

  • 2-3 years of supervisory experience in a digital environment is highly preferred.

Compliance Responsibilities:

  • Adhere to all relevant laws, regulations, and company policies.
  • Exhibit ethical conduct in alignment with our Code of Ethics and Business Conduct.
  • Complete mandatory training within specified timeframes.

Shift Details:
Monday to Friday (Evening Shift): 3:00 pm to 11:00 pm

Job Type: Full-Time

  • Must be able to pass Government Reliability B and potentially Level 2 Secret Security Clearance.
