As a Client Relations Specialist, your primary role will be to deliver administrative and operational assistance to Financial Consultants and Portfolio Managers.

Key Responsibilities:

  • Provide exceptional service and sales support to Financial Consultants and Portfolio Managers, addressing inquiries from both current and prospective clients regarding MD products and services.
  • Be responsible for the preparation and processing of client documentation, drafting correspondence for clients and third parties, and entering transaction requests.
  • Maintain a follow-up system for inquiries, complaints, and issue resolution, ensuring compliance with established MD service standards in a timely manner.
  • Develop and uphold a strategy to ensure regular contact with existing clients and prepare necessary paperwork for meetings in advance.
  • Schedule client meetings, organize files, send meeting reminders, and respond to urgent requests from Advisors during client interactions.
  • Process documentation related to new accounts and trade requests, ensuring adherence to all regulatory requirements.
  • Identify opportunities, anticipate client needs, and collaborate with other business lines to create mutually beneficial client engagement strategies.
  • Assist in the research and resolution of various complex client issues.
  • Adhere to professional standards, including policies, procedures, and best practices related to client engagement, while considering Scotiabank's risk appetite and culture.
  • Ensure completion of monthly compliance-related tasks, such as compliance reporting logs and follow-up on non-compliant documentation.
  • Coordinate with Accountants and third parties to provide tax documents or statements as requested.
  • Perform general office duties, including reception coverage as needed.

Qualifications:

  • College diploma or university degree in business, commerce, or a related field.
  • A minimum of 2 years' experience in an administrative or clerical role, preferably within the financial services sector.
  • IIROC licensed as an Investment Representative, which includes completion of the Canadian Securities Course (CSC), the Conduct and Practices Handbook (CPH), and a 30-day training program.
  • Proficiency in Microsoft Office Suite.
  • Working knowledge of CRM2.
