Position Summary
The Scheduling Coordinator is a member of the Public Safety & Environment division, responsible for supporting various managers, as well as scheduling, time, and attendance needs of the Parking, and Security/Safety teams.
This position involves various administrative tasks, staffing requirements, and ensuring adequate coverage for events while considering budget and service expectations.
Responsibilities
- Schedule employees for parking and security operations and events.
- Provide time and attendance support for all departments within the Public Safety & Environment division.
- Obtain and review staffing requirements to ensure adequate event coverage.
- Revise staffing schedule to accommodate planned and/or unplanned changes, as required.
- Analyze and distribute event information.
- Support in scheduling of department resources to support event and organization requirements.
- Assist in the hiring and training of year-round and Stampede time employees.
- Oversee part-time and seasonal schedulers by providing leadership and guidance.
- Handle office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
- Provide real-time scheduling support by booking appointments and preventing conflicts.
- Use computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Anticipate the needs of others to ensure their seamless and positive experience.
Qualifications
The ideal candidate will be proactive, optimistic, and have worked in a dynamic environment where they have experience delivering on multiple priorities and will hold the following qualifications:
- High school diploma required, post-secondary education considered an asset.
- Intermediate computer experience in Excel, Microsoft Word, and Microsoft Outlook is required.
- Intermediate knowledge of People System and Ungerboeck an asset.
- Accurate typing, grammar, punctuation, and proofreading skills are required.
- Must be highly organized, able to multi-task, handle time-sensitive assignments, and meet multiple deadlines.
- Must possess excellent interpersonal, verbal, and written communication skills.
- Strong attention to detail.
- Involves repetitive arm, hand, and finger movement. Occasional lifting and carrying up to 10 lb., pushing, crouching, bending, kneeling, and reaching. Daily stair climbing, occasional exposure to noise, dust, animal dander, and changes in temperature.
- Adequate visual acuity and color vision are required.
