Position Overview

Under the guidance of the Manager of Athletics and Recreation Operations, the Coordinator of Sports Facilities is tasked with overseeing the daily management of the Fitness Centre, Athletics, Recreation, and Sport Science facilities.

This role encompasses a variety of responsibilities including the organization of facility scheduling and maintenance, ensuring the safe operation of facilities and equipment, managing inventory and procurement, developing fitness programs, monitoring budgets, and supervising student assistants.

This position is dedicated to delivering outstanding client-focused service consistently to all stakeholders.


Key Responsibilities
1. Manages daily operations and scheduling of the Fitness Centre and Athletic Facilities
a. Collaborates with various departments to coordinate facility usage and equipment arrangements for instructional purposes, varsity athletics, intramurals, and community programs;
b. Works with users to ensure safe equipment usage and facility operations through effective communication and adherence to safety protocols;
c. Identifies necessary equipment and services for the facilities;
d. Maintains an up-to-date inventory of equipment and collaborates with purchasing for necessary acquisitions;
e. Coordinates routine maintenance and repairs for all facilities;
f. Conducts basic equipment maintenance and facility inspections, keeping a detailed log of work required and completed;
g.

Supervises the daily operations of staff under their authority, ensuring compliance with processes and standards while maintaining adequate staffing within budget constraints.


2. Provides administrative support for efficient operations
a. Handles inquiries, prepares correspondence, reports, and manages data as the primary contact for facility-related matters;
b. Enforces facility regulations and ensures compliance among all user groups;
c. Conducts semi-annual inventory assessments of equipment and supplies, making purchase recommendations;
d. Monitors and maintains budget records;
e. Adheres to Health & Safety Guidelines regarding incidents occurring within the facilities;
f. Travels as necessary to assist with operational needs across campuses.

3. Supervises student staff and volunteers
a. Assists in the recruitment, training, scheduling, and timekeeping of student assistants;
b. Oversees the collection and recording of service fees and maintains accurate records;
c. Manages laundry services ensuring proper handling and distribution of towels and uniforms;
d. Supervises the issuance of equipment, ensuring proper identification is secured.

4. Supports Athletics and Recreation events and activities
a. Plans and implements fitness programs for individuals and groups;
b. Collaborates with Sports Sciences Laboratory Technicians to facilitate lab services for various groups;
c. Participates in the administration of events, including promotion, management, fundraising, and training of minor officials;
d. Follows all protocols for games and tournaments as required by governing bodies;
e. Develops promotional materials for various programs;
f.

Maintains digital platforms and bulletin boards to keep the community informed about relevant information and events.


5. Undertakes additional duties as assigned
a. Assists the Manager of Athletics and Recreation Operations as needed;
b. Represents the department at meetings as required.
Qualifications

1. A degree from a recognized post-secondary institution in Sports Science, Human Kinetics, or Recreation, along with two years of relevant experience in support services for Athletics or Recreation organizations, or an equivalent combination of education and experience.

2. Strong communication skills with a solid command of the English language, both written and verbal, and the ability to engage with groups in various settings.

3. Proven ability to interact effectively with the public, students, partners, and staff.

4. Experience and knowledge in fitness programming.

5. Familiarity with safety protocols for fitness and athletic equipment.

6. Strong analytical and problem-solving skills.

7. Demonstrated planning, coordination, budgeting, and organizational capabilities.

8. Ability to build and maintain effective working relationships, with a capacity to work independently and collaboratively.

9. Experience supervising staff and volunteers to meet deadlines.

10. Ability to work independently with minimal supervision while achieving set deadlines.

11. Familiarity with contemporary web-based communication tools.

12. Proficiency in Microsoft Office Suite and database management.

13. A valid driver's license or reliable transportation for operational activities across campuses, with flexibility for evening and weekend work as needed.
