Position Overview

Under the guidance of the Manager of Athletics and Recreation Operations, the Coordinator of Sports Facilities is tasked with overseeing the daily functions of the Fitness Centre, Athletics, Recreation, and Sport Science facilities.

This role encompasses a variety of responsibilities including managing facility scheduling and upkeep, ensuring the safe operation of facilities and equipment, maintaining inventory and procurement of equipment, fitness programming, budget oversight, and supervising student assistants.

Key Responsibilities

  1. Management of Daily Operations
    a. Collaborates with various departments to coordinate facility scheduling and equipment arrangements for instructional use, varsity athletics, intramurals, and community programs;
    b. Ensures safe equipment usage and facility operations through effective communication and adherence to safety protocols;
    c. Identifies necessary equipment and services for the Fitness Centre and Athletics;
    d. Maintains an updated inventory of equipment and works with Purchasing for necessary acquisitions;
    e. Oversees routine maintenance and repairs for all facilities;
    f. Conducts basic equipment maintenance and facility inspections, documenting work needed and completed;
    g. Supervises the daily operations of staff under their authority, ensuring compliance with processes and standards while maintaining adequate staffing within budget constraints.
  2. Administrative Support Functions
    a. Manages inquiries, prepares correspondence, reports, and oversees data management as the primary contact for the facilities;
    b. Enforces facility regulations and ensures compliance among user groups;
    c. Conducts semi-annual inventory assessments of equipment and supplies, making purchase recommendations;
    d. Monitors and maintains budget records;
    e. Adheres to Health & Safety Guidelines regarding incidents within the facility;
    f. Assists with operational needs across campuses.
  3. Supervision of Staff
    a. Aids in the hiring, training, scheduling, and oversight of student assistants;
    b. Manages the collection and recording of service fees and maintains related databases;
    c. Oversees laundry services, ensuring proper handling of towels and uniforms;
    d. Supervises the issuance of equipment, ensuring proper identification is secured.
  4. Support for Athletics and Recreation Activities
    a. Develops and implements fitness programs for individuals and groups;
    b. Works with Sports Sciences Laboratory Technicians to schedule lab services for various groups;
    c. Participates in the administration of events, including promotion, management, fundraising, and training for minor officials;
    d. Complies with all protocols for games and tournaments as required by governing bodies;
    e. Prepares promotional materials for programs;
    f. Maintains communication platforms to keep stakeholders informed of relevant information and events.
  5. Additional Duties
    a. Assists the Manager of Athletics and Recreation Operations as needed;
    b. Represents the department at various meetings as required.

Qualifications

  1. Completion of a degree in Sports Science, Human Kinetics, or Recreation, along with two years of relevant experience in support services for Athletics or Recreation, or an equivalent combination of education and experience.
  2. Strong communication skills, with proficiency in English (both written and verbal), capable of addressing groups in various settings.
  3. Ability to interact effectively with the public, students, and staff in both verbal and written formats.
  4. Experience and knowledge in fitness programming.
  5. Understanding of safety protocols for fitness and athletic equipment.
  6. Proficient in critical analysis, reasoning, and problem-solving.
  7. Demonstrated planning, coordination, budgeting, and organizational skills.
  8. Ability to foster and maintain positive working relationships, with a capacity to work independently and collaboratively.
  9. Experience supervising staff and volunteers to meet deadlines.
  10. Capability to work autonomously with minimal supervision while achieving set deadlines.
  11. Familiarity with contemporary web-based communication tools.
  12. Proficiency in Microsoft Office Suite and database management.
  13. Possession of a valid driver's license or reliable transportation for operational activities across campuses, with flexibility for evening and weekend work.
