We are seeking a highly skilled and experienced Administrative Support Specialist to join our team at PCL Construction. As an Executive Support Professional, you will provide confidential administrative support to our Senior Executives and their teams, ensuring high-quality service and professionalism in all interactions.

Key Responsibilities

  • Manage and coordinate complex calendars with conflicting priorities
  • Meeting management, including scheduling meetings, preparing agendas, and writing meeting minutes to document action items
  • Prepare and coordinate meetings and events, including offsites and department-wide meetings
  • Prioritize conflicting needs, troubleshoot, and handle matters expeditiously
  • Prepare reports, presentations, communications, and documents relating to sensitive matters
  • Build strong relationships across the organization and with external stakeholders
  • Participate fully as a member of the team and contribute to a positive and inclusive work environment
  • Coordinate extensive and complex domestic and international travel arrangements

Requirements

  • High school diploma required; post-secondary degree or diploma in office administration considered an asset
  • 6 years of progressive experience as an administrative assistant, including 3 years supporting senior-level managers and/or district executives
  • Excellent verbal and written communication skills; able to communicate to an executive audience with superior professionalism
  • Self-management skills to plan, organize, and prioritize tasks with conflicting deadlines
  • Ability to act with discretion when handling confidential and privileged information
  • Ability to establish and maintain effective relationships with key stakeholders and decision makers
