Position Overview:

The role of the Math Proficiency Test Centre Officer is essential in facilitating the administration of the provincial Math Proficiency Test (MPT) for teacher candidates. This position involves providing support to test takers and assisting invigilators in managing immediate concerns during the testing process.

Work Schedule:

This position offers a flexible work schedule ranging from 20 to 24 hours per week, available across all academic terms. Working hours will be between 8:00 a.m. and 10:00 p.m., Monday through Saturday. Candidates must be available to perform duties on campus as needed.

Key Responsibilities:

Service Delivery:

  • Manage a high volume of inquiries from stakeholders regarding testing processes and scheduling.
  • Provide accurate and timely information to a diverse group of stakeholders in a customer service-oriented environment.
  • Serve as the initial point of contact for MPT candidates, including those requiring disability accommodations.
  • Evaluate inquiries and determine the urgency of needs, effectively addressing urgent situations and crises.
  • Collaborate with team members to enhance workflow processes.
  • Participate in the invigilation of tests, sharing responsibilities with team members as needed.
  • Monitor communication channels to ensure service standards are maintained.
  • Engage with external partners to clarify and facilitate service delivery.
  • Assist in pre- and post-test administration, addressing questions about procedures and troubleshooting common issues.
  • Provide support for technical difficulties related to testing platforms.
  • Escalate significant issues to management or appropriate support staff.

Administrative and Communication Duties:

  • Act as the primary contact for communications regarding MPT administration following student bookings.
  • May serve as the main administrator for the testing platform vendor to ensure efficient testing operations.
  • Track statistics, draft schedules, and coordinate with external testing partners.
  • Assist in updating departmental documentation, including manuals and standard operating procedures.
  • Support invigilation teams as needed.
  • Help create weekly draft schedules for additional staff for managerial approval.
  • Coordinate with other college personnel for technical assistance.
Qualifications:
  • A two-year diploma in Office Administration, Business Administration, or a related field is required.
  • Two years of experience in a high-volume office setting with a customer service focus is essential.
  • Strong customer service skills to cater to diverse stakeholder needs.
  • Excellent verbal and written communication abilities.
  • Strong interpersonal skills, with the capacity to build relationships and exercise confidentiality and diplomacy.
  • Ability to provide exceptional customer service, anticipate needs, and make informed decisions.
  • Outstanding organizational skills with the ability to manage multiple tasks.
  • High level of computer proficiency and adaptability to new technologies.
  • Good judgment along with strong problem-solving skills.
  • A collaborative team player committed to a cooperative work environment.
