Position Overview:

This role is essential to the collaboration between Conestoga College and the Education Quality and Accountability Office (EQAO) for the administration of the provincial Math Proficiency Test (MPT) for aspiring educators. The primary responsibility of the Math Proficiency Test Center Officer is to facilitate frontline services for candidates and assist invigilators with immediate concerns during the examination process.

Work Schedule: The position entails a commitment of 20 hours per week, with the potential to extend to 24 hours weekly, covering all academic terms during operational hours from 8:00 a.m. to 10:00 p.m., Monday through Saturday. Candidates must be available to work on campus as required.

Key Responsibilities:

Service Delivery:

  • Manage a high volume of inquiries from stakeholders regarding testing processes and scheduling.
  • Provide accurate and timely information to a diverse range of stakeholders in a customer service-oriented environment.
  • Serve as the initial point of contact for MPT candidates, including those needing disability accommodations.
  • Evaluate inquiries and make informed decisions regarding urgency and nature of needs, effectively addressing urgent situations.
  • Collaborate with team members to enhance workflow processes continuously.
  • Participate in the invigilation of tests on a rotating basis with other team members, including evenings and weekends.
  • Monitor communications through email and voicemail to maintain service standards.
  • Engage with external partners to clarify and facilitate service delivery as needed.
  • Share responsibilities for pre- and post-test administration, addressing questions about procedures and troubleshooting common issues.
  • Assist with technical issues related to the invigilation and testing platforms.
  • Escalate significant concerns to management or appropriate support personnel.

Administration and Communication:

  • Act as the primary contact for communications regarding MPT administration following student bookings.
  • May serve as the administrator and main liaison for the testing platform vendor to ensure seamless testing operations.
  • Track statistics, draft schedules, and coordinate with external testing partners.
  • Support the updating of departmental documentation, including manuals and standard operating procedures.
  • Assist the Administrator in creating weekly draft schedules for additional staff.
  • Coordinate with other college personnel for technical support as necessary.
Qualifications:
  • A two-year diploma in Office Administration, Business Administration, or a related field is required.
  • At least two years of experience in a high-volume office setting with a customer-facing role is essential.
  • Strong customer service skills to accommodate diverse stakeholder needs.
  • Excellent verbal and written communication abilities.
  • Strong interpersonal skills to build and maintain relationships while exercising confidentiality and diplomacy.
  • Ability to provide exceptional customer service, anticipate needs, and make informed decisions.
  • Outstanding organizational skills with the capacity to manage multiple tasks effectively.
  • High level of computer proficiency and adaptability to new technology.
  • Sound judgment along with strong problem-solving capabilities.
  • A collaborative team player committed to a cooperative work environment.
