Job Summary

Under the supervision of a senior staff member, the Healthcare Unit Coordinator will be responsible for maintaining accurate and up-to-date records, managing unit supplies, and providing exceptional customer service to patients, families, and healthcare professionals.

Key Responsibilities
  • Transcribe physician orders by accurately copying information, completing required forms, and entering data into the computer system.
  • Schedule patient activities, such as diagnostic procedures, appointments, or transportation, by coordinating with relevant departments, physicians' offices, or external agencies.
  • Maintain patient records according to established procedures, including setting up charts, adding or removing forms, and forwarding discharged patient records to the Health Records Department.
  • Provide reception duties, such as greeting and directing visitors, answering phone calls, taking messages, and responding to routine inquiries or referring as necessary.
  • Maintain unit stationery and supply levels by monitoring stock, preparing store orders, requisitioning stationery, and completing equipment repair or maintenance orders as directed.
  • Orient new staff and students to the unit by demonstrating procedures, answering questions, and explaining unit organization and layout.
  • Perform clerical duties, such as typing, filing, and photocopying, as required.
  • Manage timekeeping and other staff-related records by coding and entering hours to timecards, transcribing rotation hours, and forwarding timesheets and staffing information to the appropriate department.
  • Assist with maintaining relief staff call-in list information, including contacting staff to fill vacancies as directed.
Requirements
  • Grade 12 graduation and completion of the Unit Clerk training course, plus one year's recent related experience, or an equivalent combination of education, training, and experience.
  • Knowledge of medical terminology.
  • Ability to type 40wpm.
  • Effective communication and interpersonal skills.
  • Ability to organize work and prioritize tasks.
  • Physical ability to perform the duties of the position.
  • Ability to operate related equipment, such as personal computers and Meditech terminals.
