Job Summary

We are seeking a highly organized and detail-oriented Office Assistant/Receptionist to join our team at Fraser Health. As a key member of our administrative staff, you will provide exceptional customer service, manage front-line operations, and support the Mental Health Services team.

Key Responsibilities
  • Provide reception services by answering phone calls, taking information, and transferring calls to appropriate staff in accordance with client or agency requests.
  • Maintain master appointment books for all staff and provide front-line screening services by taking appropriate information by telephone and over the counter contact.
  • Record and process information, assess situations to determine degree of urgency, and relate information to on-duty intake workers.
  • Provide routine information to clients and the general public, including appointments, telephone numbers of other services, and pamphlets.
  • Attend to clients in the waiting room and provide typing and clerical services to the Mental Health Centre staff.
  • Obtain general intake information on referrals and appointments, gather and process client information forms, and register and discharge files as required.
  • Maintain office files by filing reports and correspondence pertinent to client files, retrieve files daily for appointments, and gather and maintain information for statistics.
  • Sort incoming mail, prepare outgoing mail, arrange for courier delivery/pick-up, and set up appointments and arrange meetings as required.
  • Record leave management information, photocopy, fax, and deliver reports, and order supplies as needed.
Requirements
  • Grade 12, plus completion of a recognized Medical Office Assistant certificate, plus one year's recent, related experience, or an equivalent combination of education, training, and experience.
  • Ability to type 45 wpm, knowledge of medical terminology, ability to operate a multi-line switchboard, and ability to communicate effectively both verbally and in writing.
  • Ability to deal effectively with others, plan, organize, and prioritize work, and operate related equipment using a variety of software applications.
  • Working knowledge of general office practices and procedures and their application, comprehensive knowledge of relevant acts, regulations, programs, policies, and procedures, and physical ability to perform the duties of the position.
