As a Senior Administrative Assistant, you will be part of our Administration team, which understands internal service needs and anticipates resource constraints before they become a challenge.

As a trusted advisor, you will ensure the efficient and effective operation of our business. Your role will involve monitoring workflow intake and workflow tracker to ensure it is updated, monitoring assignment of jobs, ensuring deadlines are set and achieved, and assessing priorities and coordinating workflow between teams.

Responsibilities

  • Monitor workflow intake and workflow tracker to ensure it is updated
  • Monitor assignment of jobs, ensuring deadlines are set and achieved
  • Assess priorities and coordinate workflow between teams
  • Responsible for all data entry related to producing a schedule for the Accounting and Assurance team
  • Assist in long-term scheduling
  • Review upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work to specific team members (i.e., documents for review/signature)
  • Participate in scheduling meetings and follow-up on unresolved issues
  • Resolve scheduling conflicts with the managers and partners
  • Produce, analyze, and distribute weekly reporting to the Partner and Manager group and advise management team of anomalies or trends
  • Produce ad-hoc reports from our practice management software
  • Communicate scheduling changes and updates to team members
  • Motivate others to follow processes and escalate issues/challenges as necessary
  • Maintain electronic and paper filing systems
  • Contribute to the development of new ideas and approaches to improve work processes
  • Work collaboratively with other team members and leadership
  • Actively listening to the concerns and needs of internal team members
  • Maintain flexibility to work overtime, as necessary
  • Other duties as required

Skills and Experience

  • Post-secondary education in business administration is considered an asset
  • 5+ years of increasingly complex administrative responsibilities
  • Experience in a professional services environment is considered an asset
  • Proficient in various computer programs including Microsoft Office (Excel, Outlook, Word, PowerPoint)
  • Strong client service focus in dealing with both external and internal clients
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
  • Outstanding problem-solving and communication skills
