Job Summary
We're seeking a highly organized and detail-oriented Senior Administrative Assistant to join our Administration team. As a trusted advisor, you'll play a critical role in ensuring the efficient and effective operation of our business.
Key Responsibilities
- Monitor workflow intake and update the workflow tracker to ensure accuracy
- Assign tasks and set deadlines to ensure timely completion
- Assess priorities and coordinate workflow between teams to optimize productivity
- Manage data entry related to producing schedules for the Accounting and Assurance team
- Assist in long-term scheduling and planning
- Review upcoming deadlines and work requirements with the team, coordinating logistics and workflow to specific team members
- Participate in scheduling meetings and follow up on unresolved issues
- Resolve scheduling conflicts with managers and partners
- Produce and distribute weekly reporting to the Partner and Manager group, highlighting anomalies or trends
- Produce ad-hoc reports from our practice management software
- Communicate scheduling changes and updates to team members
- Motivate others to follow processes and escalate issues as necessary
- Maintain electronic and paper filing systems
- Contribute to the development of new ideas and approaches to improve work processes
- Work collaboratively with other team members and leadership
- Actively listen to the concerns and needs of internal team members
- Maintain flexibility to work overtime as needed
Requirements
- Post-secondary education in business administration is considered an asset
- 5+ years of increasingly complex administrative responsibilities
- Experience in a professional services environment is considered an asset
- Proficient in various computer programs, including Microsoft Office (Excel, Outlook, Word, PowerPoint)
- Strong client service focus in dealing with both external and internal clients
- Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
- Outstanding problem-solving and communication skills
