Position Overview

The Administrative Operations Coordinator will assist the operations team with a variety of responsibilities. Your role will encompass providing administrative assistance, coordinating travel arrangements, and ensuring the seamless operation of the department.

Key Responsibilities:

Administrative Support (30%)

  • Manage office administrative functions;
  • Prepare internal reports for departmental monitoring;
  • Organize internal and external training sessions for new hires;
  • Assist in updating departmental files and documentation;
  • Handle and direct internal communications;
  • Serve as the company’s receptionist when necessary;
  • Greet clients and visitors as required;
  • Prepare, distribute, and send correspondence and packages as needed;

Documentation Management (30%)

  • Update standard departmental documents;
  • Maintain the department's computer systems;
  • Copy or scan necessary documents;
  • Draft departmental memos;
  • Review and format documents in Google Docs and Slides;
  • Translate documents between French and English.

Travel Coordination (10%)

  • Assist with travel arrangements (flights, accommodations, car rentals);
  • Prepare travel letters for international trips;
  • Manage changes to staff mobile plans during travel;
  • Handle departmental purchase invoice receipts;
  • Order business cards and internal documents;

Additional Responsibilities (30%)

  • Input data into the company’s management system;
  • Keep employee records current (training, health and safety, etc.);
  • Support other team members as required;
  • Coordinate and onboard new employees;
  • Book and manage meeting spaces;
  • Perform other duties related to the position;

Qualifications:

  • College diploma or Bachelor's degree in administration or equivalent experience;
  • At least five (5) years of relevant experience;
  • Familiarity with Google Suite tools - Google Sheets, Google Docs, Google Slides is an asset;
  • Experience in event planning and travel coordination;
  • Excellent written and verbal communication skills in both English and French (bilingualism required);
  • Ability to prioritize tasks while managing multiple supervisors;
  • Professional demeanor and positive attitude;
  • Ability to maintain discretion and confidentiality;
  • Self-motivated and proactive;
