Role Overview

Reporting to the Manager, Payroll, the Payroll Specialist plays a vital role in ensuring accurate and timely payroll processing for both Diabetes Canada (DC) and the National Diabetes Trust (NDT). This position involves collaborating with various stakeholders, including HR departments, Finance teams, and regulatory agencies.

The ideal candidate will possess strong analytical skills, meticulous attention to detail, and a comprehensive understanding of Canadian payroll legislation. They will be responsible for documenting existing processes, identifying opportunities for improvement, and completing routine and ad-hoc reporting.

Responsibilities:
  • Document all payroll processes, ensuring compliance with NDT/DC policies and legislative requirements. Recommend process enhancements to the Manager, Payroll, and implement approved changes.
  • Generate reports from Dayforce and Excel to support payroll monitoring, third-party reporting, and stakeholder needs.
  • Manage monthly Union reporting and serve as a primary resource for interpreting NDT's Collective Agreements.
  • Oversee the processing of benefits/retirement program payments, ensuring accuracy based on employee enrollment forms and contract rates.
  • Process bi-weekly, monthly, and annual payments to regulatory agencies, government entities, and benefits providers.
  • Prepare year-end reporting, including tax statements, statutory withholding reconciliations, and various returns required by federal and provincial departments.
  • Act as a liaison between DC and NDT's HR departments on benefit and retirement matters, ensuring compliance with procedures and legislative requirements.
  • Collaborate with Finance departments, providing Payroll GL reports and assisting in the reconciliation of payroll clearing and benefits clearing accounts.
  • Support statutory and regulatory auditors by providing requested documentation and information.
  • Provide backup support for payroll processing tasks as needed.
