Job Summary

We are seeking a highly organized and detail-oriented Program Assistant to support the UBC Area of Focused Practice (AFC) Thrombosis Program. This is a one-year subspecialty training program for post-graduate medical trainees with certification in Internal Medicine or Emergency Medicine.

The successful candidate will be responsible for coordinating the yearly applicant selection process, facilitating enrollment of new fellows, and providing administrative support to the Program Director.

Key Responsibilities
  • Coordinate the applicant selection process, including handling application materials and corresponding with applicants
  • Facilitate enrollment of new fellows, including payment of AFC enrollment fees and onboarding of internationally-sponsored medical trainees
  • Prepare and coordinate clinical/rotation schedules for each fellow
  • Distribute monthly end-of-block evaluations and maintain related records
  • Schedule and attend quarterly AFC Program Committee and Competency Committee meetings
  • Provide administrative support to the Program Director, including attending meetings and maintaining documentation
Requirements
  • High School graduation, plus two year post-secondary diploma, plus four years of related experience, or an equivalent combination of education and experience
  • Excellent communication and organizational skills, with ability to work independently and as part of a team
  • Experience in administration of a post-graduate clinical training program, preferably within UBC
  • Competent in the use and application of One45 evaluation software
