Facilities Visitor Coordinator (Casual Position)

Position Responsibilities:
The successful candidate will be responsible for, but not limited to:
- Welcoming visitors and coordinating with the appropriate personnel for their escort
- Managing a multi-line phone system and maintaining front desk information resources
- Taking and forwarding messages, as well as assisting with meeting room reservations
- Monitoring visitor access through an electronic sign-in system and ensuring security protocols are followed
- Ensuring screening questions and confidentiality agreements are adhered to, and visitor badges are displayed
- Receiving packages, logging deliveries, and notifying carriers for pickups
- Acting as the Area Warden and the first point of contact for emergency situations
- Participating in monthly safety meetings, conducting quarterly site inspections, and managing first aid supplies
- Addressing requests related to building maintenance, including signage, office relocations, and janitorial needs
- Overseeing corporate vehicle usage, ensuring accurate sign-out procedures and vehicle readiness
- Tracking staff parking and managing monthly counts for billing purposes
- Conducting records management activities, including creation, maintenance, and archiving of documents
- Performing general administrative duties such as managing correspondence, distributing mail, and maintaining office supplies
Qualifications:
- Certificate or Diploma in Administration
- One or more years of relevant experience
- Strong interpersonal and communication skills
- Proficiency in Microsoft Office applications
- Effective collaboration and teamwork abilities
- Strong organizational and prioritization skills
