Job Title: Administrative Assistant - Main Office

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at the Waterloo Catholic District School Board. As an Administrative Assistant, you will provide administrative support to the school office, ensuring the smooth operation of daily activities.

Key Responsibilities:
  • Provide administrative support to the school office, including answering phones, opening and distributing mail, and assisting students with their needs.
  • Perform receptionist duties, such as receiving and directing visitors, receiving and placing telephone calls, and distributing mail/couriers/faxes/emails.
  • Record and distribute messages, sign for material delivered or services rendered, and respond to inquiries as directed by the principal.
  • Provide break coverage and support to other admin assistants in the school.
  • Provide clerical support to the guidance and Student Administrative System (SAS) areas as needed.
  • Operate, maintain, and update the Aspen System for attendance purposes, recording new information, creating school reports, and registrations.
  • Compile, maintain, and file confidential records, such as Ontario Student Records (O.S.R.), budget records, staff and student absenteeism, requisitions, and reports.
  • Photocopy and distribute correspondence and reports, such as letters to parents, monthly newsletters, memos, monthly reports, and confidential records.
  • Maintain office and school supplies.
  • Operate general office equipment, such as photocopiers, fax machines, PA system, and computers.
  • Facilitate student attendance procedures.
Requirements:
  • Two-year College Diploma in Office Administration or Business Administration.
  • 1-2 years similar work experience.
  • Proficiency in computer applications: Word, Excel, Outlook, Access, PowerPoint.
  • Possess organization and multi-tasking skills in a busy work environment.
  • Ability to work and communicate effectively in an office environment with frequent interruptions and deadlines.
  • Knowledge of Board and Ministry policies and procedures (an asset).
Working Conditions:

Half-time, 17.5 hours per week, 11:15 am - 2:45 pm (Unless otherwise informed by the Administrator).

Location: St. Benedict CSS, Cambridge, ON.

Weeks/Year: Approx. 42 weeks/year.

Effective Date: As soon as possible.
