Position Overview

The Retail Bookstore Associate is responsible for managing and executing all sales transactions utilizing a point of sale system, while ensuring accurate record-keeping of all transactions.

This role involves merchandising and safeguarding inventory, as well as upholding a high standard of customer service within the College Bookstore, delivering exceptional client-focused service consistently to all stakeholders.

Key Responsibilities
  1. Handles all sales, refunds, in-house charges, and sponsorship transactions.
    a. Balances daily sales, compiles reports for the Finance Department, and prepares bank deposits;
    b.

    Determines the composition of cash floats, conducts regular safe counts, and prepares necessary documentation to ensure the safe is adequately stocked with cash and coin denominations.

  2. Processes purchase orders, monitors customer inquiries via bookstore emails, and manages sponsored student orders;
  3. Facilitates web orders and assists with shipping and in-store pickups;
  4. Evaluates merchandise returns and issues refunds or exchanges as appropriate;
  5. Opens and closes the Bookstore, balancing daily sales against receipts and generating end-of-day summary reports;
  6. Trains auxiliary clerks and cashiers, overseeing operations during peak periods.
Database Management
  1. Maintains various computer databases.
    a. Verifies student and employee record information in the College database and collaborates with the Finance Department to maintain internal charge account records and parking pass activities;
    b. Performs a range of word processing tasks.
Inventory Management
  1. Merchandises and protects inventory.
    a. Assists customers in locating and selecting items;
    b. Labels, stocks, organizes, and merchandises inventory;
    c. Monitors inventory levels and informs buyers of low stock;
    d. Maintains awareness of surroundings for security purposes;
    e. Conducts periodic and annual physical inventory using a computerized inventory/sales system;
    f. Assists with inventory control for all retail stock, maintaining records, monitoring prices, and updating shelf tags and customer information;
    g.

    Facilitates the transfer of books and merchandise between locations, including processing required documentation.

Additional Duties
  1. Assists with the selection, ordering, receiving, merchandising, and returning of general books for sale using the Bookstore computer system;
  2. Supports the receiving of general merchandise and trade books within the inventory control system;
  3. Sorts and distributes bookstore mail and email communications;
  4. Provides support to cashiers during busy periods.
Qualifications

To excel in this position, candidates should possess a minimum of two years of retail experience or one year of experience in a post-secondary institutional bookstore environment, or an equivalent combination of relevant experience.

Strong proficiency in the English language (both written and verbal) is essential.

Excellent interpersonal skills are required, with proven experience in engaging with diverse populations and demonstrated conflict resolution abilities.

Candidates must exhibit the ability to communicate effectively and courteously in person, in writing, and over the phone with students, faculty, administrators, staff, and the public, with a strong emphasis on customer service.

Proficiency in customer service concepts is necessary, along with demonstrated data entry skills at a beginner level, including the ability to type 40 words per minute accurately. Familiarity with PC software, including MS Office, Excel, Word, and Access, as well as operating multiple category point of sale registers, is required.

Knowledge of computerized inventory control systems, purchasing principles, supply management, and cash balancing procedures is essential.

Familiarity with best practices in web content management and internet applications is preferred.

Demonstrated understanding of accounting practices and procedures is advantageous.

Candidates should be able to work standing for extended periods and handle heavy materials.

Proven ability to work independently with minimal supervision, prioritize tasks, meet deadlines, and perform well under pressure is crucial.
