We are seeking a highly organized and detail-oriented Unit Clerk to join our team at Royal Columbian Hospital in New Westminster, B.C. This is a relief part-time opportunity available until November 2025 or until the return of the incumbent.
About the RoleThis is an exciting opportunity to work in a rapidly growing organization with health professionals who are excellent in their respective fields. As a Unit Clerk, you will be responsible for performing a variety of clerical duties related to the operation of a patient care area.
Key Responsibilities- Prioritize, process, coordinate and transcribe physicians' orders by copying information, completing required forms and/or entering information into the computer and distributing information; perform follow-up as necessary.
- Schedule, book and coordinate patient appointments by receiving appointment requests, arranging appropriate appointment dates and times, making follow-up appointments, adjusting appointments as required in accordance with patient and facility requirements; arrange patient tests; maintain appointment diaries by arranging and confirming patient appointments.
- Act as a communication link for the assigned area by contacting other facilities and departments, including bed booking to exchange information regarding bed availability to assist admissions, discharges and/or patient transfers; receive patient's tests, and receive visitors, provide information and direct to appropriate area.
- Assemble and maintain patient charts according to established procedures; transcribe patient data into applicable health record system; attach patient documents such as lab and/or special examination reports to chart; dismantle and forward discharged patient records to Health Records.
- Answer telephones, transfer calls, take messages, answer routine inquiries or referring as appropriate; open and distribute mail as required.
- Perform related clerical duties such as data entry, filing, compiling, preparing and maintaining statistics including related reports, delivering and picking up items, maintaining and ordering stationery and supplies through stores, and arranging for and tracking equipment repairs as required.
- Maintain timekeeping records for regular and casual staff and submit/enter to payroll system as required. Receive and process requests such as vacation, leaves of absence and terminations by preparing necessary documentation and forwarding to the Manager, Clinical Services or designate for approval.
- Accept calls from nursing staff regarding illnesses and/or absence from work and communicate information received to nursing unit and appropriate person; call in relief nursing staff according to pre-determined guidelines and refer problems to the Manager, Clinical Services or designate.
- Maintain records on relief staff such as names, address, contact phone number, availability for work, suitable work area and hours worked.
- Perform other related duties as required.
We are looking for a candidate with:
- Grade 12, medical terminology and graduation of a recognized Nursing Unit Clerk program, plus one year of recent, related experience or an equivalent combination of education, training and experience.
- Ability to communicate effectively both verbally and in writing.
- Ability to deal with others effectively.
- Physical ability to carry out the duties of the position.
- Ability to keyboard at 40 wpm.
- Ability to organize work.
- Ability to operate related equipment.
- Ability to utilize a variety of computer software applications.
