Position Overview

The Retail Bookstore Associate is responsible for managing and executing all sales transactions utilizing a point of sale system, while ensuring accurate record-keeping of all financial activities.

This role involves maintaining high standards of customer service in the College Bookstore, delivering exceptional client-focused assistance consistently to all stakeholders.

Key Responsibilities
  1. Handles all sales, refunds, in-house charges, and sponsorship transactions.
    a. Balances daily sales, compiles reports for the Finance Department, and prepares bank deposits;
    b.

    Determines cash float composition, conducts regular safe counts, and prepares documentation for bank orders to ensure adequate cash supply.

  2. Processes purchase orders, monitors bookstore communications for customer inquiries and sponsored student orders;
  3. Manages web orders and assists with shipping and in-store pickups;
  4. Evaluates merchandise returns and processes refunds or exchanges;
  5. Opens and closes the bookstore, balancing daily sales with receipts and generating end-of-day summary reports;
  6. Trains auxiliary clerks and cashiers, overseeing operations during peak periods.
Database Management
  1. Maintains various computer databases.
    a. Verifies student and employee records in the College database and collaborates with the Finance Department to manage internal charge account codes and parking pass activities;
    b. Performs diverse word processing tasks.
Inventory Management
  1. Merchandises and safeguards inventory.
    a. Assists customers in locating and selecting products;
    b. Labels, stocks, organizes, and displays inventory;
    c. Monitors inventory levels and informs buyers of low stock;
    d. Maintains awareness of surroundings for security purposes;
    e. Conducts periodic physical inventory and annual assessments using a computerized inventory/sales system;
    f. Aids in inventory control for all retail items, maintaining records, monitoring prices, and updating shelf tags and customer information;
    g.

    Facilitates the transfer of books and merchandise between locations, including processing necessary documentation.

Additional Duties
  1. Assists with selection, ordering, receiving, merchandising, and returning of general books using the bookstore computer system;
  2. Supports the receiving of general merchandise and trade books within the inventory control system;
  3. Sorts and distributes bookstore mail and email communications;
  4. Provides support to cashiers during busy periods.

Qualifications

To excel in this role, candidates should possess a minimum of two years of retail experience or one year in a post-secondary institutional bookstore environment, or a combination of relevant experience.

Strong command of the English language (both written and verbal) is essential.

Excellent interpersonal skills with a proven ability to engage with diverse populations and demonstrate conflict resolution capabilities are required.

Ability to communicate effectively and courteously in person, in writing, and over the phone with students, faculty, administrators, staff, and the public, with a strong focus on customer service.

Basic data entry skills with a demonstrated ability to type 40 words per minute accurately, along with proficiency in PC software including MS Office, Excel, Word, and Access, as well as operating multiple categories of point of sale registers.

Familiarity with computerized inventory control systems, purchasing principles, supply management, and cash balancing procedures is necessary.

Knowledge of best practices in web content management and internet applications is advantageous.

Understanding of accounting practices and procedures is preferred.

Ability to stand for extended periods and handle heavy materials is required.

Demonstrated capacity to work independently with minimal supervision, establish priorities, meet deadlines, and perform well under pressure.
