Job Summary

The Administrative Assistant plays a vital role in supporting the Director of Medical Administration and Academic Affairs, Department Chiefs, and Physician Leaders at Southlake Regional Health Centre. This position requires a high level of administrative expertise, excellent communication skills, and the ability to work effectively in a dynamic environment.

Key Responsibilities
  • Provide administrative support to the Director and Physician Leaders, ensuring efficient day-to-day operations and up-to-date office systems.
  • Manage schedules, correspondence, and workflow, prioritizing tasks and managing multiple demands and deadlines.
  • Coordinate meetings, prepare high-quality minutes, and maintain electronic databases.
  • Assist with academic affairs, physician leadership orientation, and special projects as required.
  • Develop and maintain strong relationships with internal and external stakeholders, including medical staff, hospital staff, and the public.
Requirements
  • Medical Administration diploma or related discipline from a recognized Community College.
  • 3-5 years of recent secretarial or assistant experience at a senior level or equivalent combination of education and experience.
  • Proficiency in MS Office, Excel, Word, PowerPoint, Outlook, Adobe, and database applications.
  • Excellent communication, interpersonal, and customer service skills.
  • Proven organizational abilities, self-direction, and sound judgment to prioritize workload and coordinate multiple demands and deadlines.
  • Ability to handle sensitive and confidential information in a professional manner.
  • Polished, professional interpersonal skills to work effectively in a team environment.
