Office Coordinator

As an integral part of Ventona Transport Ltd, the Administrative Assistant will play a vital role in ensuring the smooth operation of our office. This permanent position requires a commitment of 40 hours per week and necessitates a secondary school graduation certificate along with 1 to 2 years of relevant experience.
Key Responsibilities- Manage and distribute incoming correspondence and materials efficiently.
- Develop and enforce office policies and procedures to enhance productivity.
- Document and prepare meeting minutes for various gatherings, including seminars and conferences.
- Establish and manage daily office procedures and workflows.
- Coordinate and confirm appointments for staff and management.
- Handle telephone inquiries and relay messages accurately.
- Respond to electronic communications promptly.
- Gather and compile essential data, statistics, and information.
- Order and maintain office supplies, ensuring adequate inventory levels.
- Welcome visitors and guide them to the appropriate contacts or service areas.
- Organize and maintain comprehensive filing systems.
- Type, proofread, and edit correspondence, forms, and various documents.
- Conduct data entry tasks with precision.
