Job Summary

We are seeking a highly organized and detail-oriented Secretary to join our Systemic Therapy team at BC Cancer. As a key member of our administrative team, you will provide exceptional support to our medical staff and patients, ensuring seamless coordination of care and efficient operations.

Key Responsibilities

  • Screen and prioritize patient requirements, determining urgency and taking appropriate action.
  • Coordinate appointments and tests, accessing patient information systems to enter and retrieve data.
  • Relay patient information to and from doctors' offices and outside hospitals, contacting other departments or sources to obtain medical reports.
  • Prepare correspondence, reports, and documents from dictation or handwritten notes, using various software.
  • Schedule meetings and appointments, book facilities, and arrange audio-visual equipment, recording and distributing meeting minutes.
  • Gather data for documents, requesting and collating information for items such as grant applications and departmental reports.
  • Open, sort, and forward incoming mail, making travel arrangements for departmental staff and visitors as needed.
  • Prepare requisitions for office and other supplies, receiving and monitoring incoming stock against requisitions.
  • Perform record-keeping functions, entering, retrieving, and distributing data from department scheduling systems.
  • Maintain secretarial procedure manuals, typing and inserting new or revised procedures.
  • Assist in maintaining departmental time books, relaying information to appropriate personnel.
  • Maintain departmental filing systems, organizing and filing materials.
  • Receive visitors to the work area as required.

Requirements

  • Grade 12, graduation from a recognized secretarial program, including a recognized course in medical transcription, and three years' recent, related experience, or an equivalent combination of education, training, and experience.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada, as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Ability to keyboard at 60 wpm, communicate effectively verbally and in writing, deal with others effectively, and operate related equipment.
  • Physical ability to carry out the duties of the position, ability to organize work, and ability to work in a fast-paced environment.
