Role Overview
CT Real Estate is responsible for managing the comprehensive real estate operations for a vast portfolio of retail and corporate locations across Canada. Within this division, the Occupancy Cost Administration team plays a crucial role in overseeing, analyzing, and reporting on occupancy expenses and revenues for a diverse range of leased and owned properties. The Occupancy Cost Administrator, reporting to the National Portfolio Manager, is tasked with minimizing occupancy expenses through meticulous audits of landlord reconciliations and thorough reviews of rental notices, while also maximizing income opportunities for tenants.
- Conduct detailed audits of landlord year-end reconciliations to ensure charges are justified and align with lease agreements, addressing any discrepancies that arise.
- Process and review annual Rental Advice Notices (RAN) received from landlords.
- Analyze Monthly Rent Variance reports and provide insights on significant month-over-month rent fluctuations.
- Prioritize and manage the processing of outstanding reconciliations and RANs efficiently.
- Address inquiries related to landlord payments.
- Maintain and update the Lucernex contracts module, ensuring a well-organized filing system.
- When applicable, handle Tenant RAN and REC billings to optimize Tenant Income within the portfolio.
- Undertake additional responsibilities and special projects as needed.
Qualifications
- A minimum of 2 years of experience in a lease administration or occupancy cost auditing role, preferably within a retail environment.
- Post-secondary education in a relevant field or equivalent experience. An accounting designation or accredited commercial real estate certification is advantageous.
- Strong capability to interpret lease agreements and analyze occupancy cost statements effectively.
- Excellent verbal and written communication skills, with a proven ability to foster strong relationships with landlords and internal stakeholders. Bilingualism in English and French is a plus.
- Proficient in MS Office applications, lease administration software, and financial systems. Familiarity with Lucernex Contracts module and Peoplesoft financials is beneficial.
- Demonstrated problem-solving skills.
- Strong organizational and planning abilities, with the capacity to manage multiple tasks and adapt to changing priorities.
- Proven initiative, sound judgment, resourcefulness, and creativity, with an ability to anticipate departmental needs.
- Capability to handle sensitive information with discretion and maintain confidentiality.
