Position Overview:

A full-time position is available for a receptionist at our healthcare facility. We are seeking candidates who excel in customer service. The receptionist will be cross-trained in both medical and dental operations.

The individual in this role will manage patient information, schedule medical appointments, and communicate with patients via phone, including taking messages. The ideal candidate should possess problem-solving abilities and communicate effectively with patients, demonstrating sensitivity to their needs. A strong work ethic and professionalism are essential, along with the ability to multitask and utilize basic office software.

Responsibilities include, but are not limited to:

  • Maintain a clean and organized workspace and patient area.
  • Oversee all daily front desk operations to ensure completion.
  • Answer phone calls and assist callers promptly.
  • Schedule and confirm patient appointments in accordance with established protocols.
  • Maintain an average daily registration schedule of patients per provider or manage a high volume of phone calls, depending on the role.
  • Assist the medical/dental records department with tasks such as scanning documents, sorting, filing, and retrieving charts as necessary.
  • Achieve a 100% collection rate by processing patient payments and account balances.
  • Support patients in completing registration forms.
  • Guide patients in accessing healthcare services.
  • Inform patients about additional health centers and community resources.
  • Accurately input patient demographic data into the management system.
  • Demonstrate the knowledge and skills necessary to provide appropriate care for patients of varying ages.
  • Collaborate with back-office staff to address clinical quality measures.
  • Work as a cohesive team at the front desk, completing assigned tasks while being ready to assist colleagues as needed.

Productivity and Quality Standards:

  • Greet each patient upon arrival with a smile and offer assistance.
  • Address each patient by their last name.
  • Answer each call within three rings.
  • Provide a warm and pleasant greeting to each caller.
  • Each call should begin with a standard greeting.
  • Do not place any call on hold for longer than two minutes without checking in with the caller.

Performance Metrics:

  • Adhere to the work schedule and be prepared to provide services promptly.
  • Utilize AIDET skills consistently during patient interactions.
  • Complete quality care assessments for all patients treated.
  • Provide services to a minimum number of patients daily.
  • Support patient enrollment in health management programs.
  • Complete chart notes within a specified timeframe.
  • Maintain an average of patient visits per day for each provider.

Qualifications:

  • At least one year of experience in a healthcare setting.
  • Familiarity with medical terminology is preferred.
  • Proficiency in Windows, Word, Excel, and typing skills are required.
  • Excellent verbal, customer service, and written communication skills are essential.
  • Strong organizational skills are necessary.
  • A High School Diploma or GED is required.
  • Bilingual skills in English/Spanish or English/Russian are preferred but not mandatory.
