Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at O Leary Plaster & Paint Inc. The successful candidate will provide administrative support to our staff and management team, ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide administrative support to the management team, including scheduling appointments, preparing meeting minutes, and maintaining records.
  • Coordinate seminars, conferences, and other events, including arranging travel and accommodations for attendees.
  • Manage contracts, including preparing and sending contracts, and maintaining records of contract renewals and expirations.
  • Answer telephone calls and respond to electronic inquiries, providing excellent customer service to our clients and stakeholders.
  • Compile data, statistics, and other information to support business decisions, including preparing reports and presentations.
  • Order office supplies and maintain inventory, ensuring that our office is well-stocked and organized.
  • Arrange travel, including booking flights, hotels, and rental cars, and making reservations for meetings and events.
  • Set up and maintain manual and computerized information filing systems, ensuring that our records are accurate and up-to-date.
  • Perform data entry, including entering information into our database and maintaining accurate records.
  • Provide customer service, including responding to client inquiries and resolving issues in a timely and professional manner.
  • Maintain and manage digital databases, including updating records and ensuring data accuracy.
  • Perform basic bookkeeping tasks, including preparing invoices and reconciling accounts.
  • Consult with clients after sale to provide ongoing support and ensure customer satisfaction.
  • Conduct performance reviews, including evaluating employee performance and providing feedback and coaching.
  • Supervise office and volunteer staff, including providing guidance and support to ensure the smooth operation of our office.
Requirements:
  • Secondary (high) school graduation certificate.
  • 1 year to less than 2 years of experience in an administrative role.
  • Ability to work independently and as part of a team.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong organizational and time management skills.
  • Ability to work under pressure and meet deadlines.
  • Attention to detail and ability to maintain accurate records.
  • Ability to work with minimal supervision and take initiative to complete tasks.
  • Ability to adapt to changing priorities and deadlines.
  • Accountability and due diligence in all aspects of the job.
