Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at O Leary Plaster & Paint Inc. The successful candidate will provide administrative support to our staff and management team, ensuring the smooth operation of our office.
Key Responsibilities:- Provide administrative support to the management team, including scheduling appointments, preparing meeting minutes, and maintaining records.
- Coordinate seminars, conferences, and other events, including arranging travel and accommodations for attendees.
- Manage contracts, including preparing and sending contracts, and maintaining records of contract renewals and expirations.
- Answer telephone calls and respond to electronic inquiries, providing excellent customer service to our clients and stakeholders.
- Compile data, statistics, and other information to support business decisions, including preparing reports and presentations.
- Order office supplies and maintain inventory, ensuring that our office is well-stocked and organized.
- Arrange travel, including booking flights, hotels, and rental cars, and making reservations for meetings and events.
- Set up and maintain manual and computerized information filing systems, ensuring that our records are accurate and up-to-date.
- Perform data entry, including entering information into our database and maintaining accurate records.
- Provide customer service, including responding to client inquiries and resolving issues in a timely and professional manner.
- Maintain and manage digital databases, including updating records and ensuring data accuracy.
- Perform basic bookkeeping tasks, including preparing invoices and reconciling accounts.
- Consult with clients after sale to provide ongoing support and ensure customer satisfaction.
- Conduct performance reviews, including evaluating employee performance and providing feedback and coaching.
- Supervise office and volunteer staff, including providing guidance and support to ensure the smooth operation of our office.
- Secondary (high) school graduation certificate.
- 1 year to less than 2 years of experience in an administrative role.
- Ability to work independently and as part of a team.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Strong organizational and time management skills.
- Ability to work under pressure and meet deadlines.
- Attention to detail and ability to maintain accurate records.
- Ability to work with minimal supervision and take initiative to complete tasks.
- Ability to adapt to changing priorities and deadlines.
- Accountability and due diligence in all aspects of the job.
