About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at ASB Law office. As a key member of our administrative staff, you will provide critical support to our real estate team, ensuring seamless day-to-day operations and exceptional client service.

Key Responsibilities
  • Scheduling and Coordination: Schedule and confirm appointments, meetings, and events with clients, colleagues, and other stakeholders.
  • Document Management: Maintain accurate and up-to-date filing systems, both physical and digital, to ensure easy access to important documents and records.
  • Office Procedures: Develop and implement efficient office procedures and routines to optimize productivity and workflow.
  • Financial Management: Prepare and review financial statements, reports, and other documents to ensure accuracy and compliance with company policies.
  • Correspondence and Communication: Prepare and key in correspondence, legal documents, and other communications to ensure timely and effective communication with clients, colleagues, and other stakeholders.
  • Review and Proofreading: Review and proofread documents and correspondence to ensure compliance with legal procedures, grammatical usage, and company standards.
  • Bookkeeping and Accounting: Perform basic bookkeeping tasks, including data entry, invoicing, and reconciliations.
Requirements and Qualifications
  • Education: College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience: 2 years to less than 3 years of experience in a similar role.
  • Computer and Technology Skills: Proficient in MS Word, MS Office, electronic mail, MS Outlook, and Adobe Acrobat Reader.
  • Work Conditions and Physical Capabilities: Ability to work under pressure, with attention to detail, and in a fast-paced environment.
  • Personal Suitability: Accurate, excellent oral and written communication skills, organized, reliable, and able to work independently.
