About the Role:

We are seeking a highly organized and detail-oriented Regional Office Coordinator to provide administrative support to our leadership team in Calgary. As a key member of our team, you will be responsible for coordinating the day-to-day activities of the regional office, including managing calendars, preparing correspondence, and making travel arrangements.

Key Responsibilities:

  • Provide administrative support to the VP, Office Leasing & Operations and VP, Office Operations
  • Prepare routine correspondence, meeting materials, and reports
  • Coordinate internal and external meetings, including making meeting room bookings and catering arrangements
  • Maintain calendars and schedules
  • Prepare expense reports in accordance with company policies and departmental budget guidelines
  • Make travel arrangements, including booking flights and accommodation
  • Provide support for special events and projects, including some work outside of regular hours
  • Maintain files for departments as required
  • Photocopying, scanning, and coordinating the administration of the department's work
  • Oversee day-to-day activities of the regional office, including coordination of supplies and office equipment, furniture, and workstations, and management of related vendors
  • Supervise reception staff and activities

Requirements:

  • Minimum 3 years of administrative experience at an intermediate level, with demonstrated experience in real estate an asset
  • Proficient in Microsoft Office applications, including advanced Word and PowerPoint, and intermediate Excel
  • Excellent written and verbal communication skills
  • High confidentiality standards and ability to exercise good judgment
  • Proactive and forward-thinking
  • Ability to multitask among several competing priorities and managers
  • Flexibility and adaptability to differing workloads
  • Strong customer service attitude
  • Hospitality experience an asset
